Create an insurance index before copying every policy

List each insurer, policy type, policy number, agent or support contact, named policyholder, renewal date and location of the authoritative document. Include life, health, home, motor, disability, business and any specialist cover that matters.

The index should help a trusted person find the insurer and the current record. Do not assume an old PDF proves current coverage or beneficiary status.

Keep urgent and authoritative copies available

Some claims and assistance requests are time-sensitive. Do not rely on a 1-day check-in and daily lifecycle processing for immediate access after a fire, accident or hospitalisation. Keep suitable emergency copies with the policyholder, business, broker or authorised family member.

Explain the first action and the authority boundary

Tell the recipient which insurer or adviser to contact, what event may need reporting, where originals are held and who is authorised to make a claim. Avoid giving instructions that assume coverage, guarantee payment or override policy terms.

Release of a document does not make the recipient a beneficiary, executor, attorney or company representative.

Review at renewal and after major changes

Update the index after moving, buying or selling property, changing a business, replacing a vehicle, changing beneficiaries or renewing cover. Remove expired material and verify the recipient's address.

Test the delivery with a sample index before adding real policy documents. If Private mode is selected, confirm the recipient has a separate path to the recovery code.

Minimise sensitive identity data

Policy files may contain addresses, dates of birth, health information, signatures and payment details. Include only what the recipient needs and prefer a pointer to the insurer's authoritative record where possible.

Protect the recipient's mailbox and device, set a clear deletion expectation after the task and avoid mixing unrelated family members' records into one delivery.
