Start with when the recipient should receive the file

Immediate sharing, ongoing collaboration and future conditional access are different jobs. Choosing by encryption label alone can produce an unusable workflow.

For an immediate legal or medical exchange, use the professional's approved secure portal. For ongoing team collaboration, use a managed encrypted workspace with identity, access and revocation controls. For everyday passwords, use a password manager. For a file that should remain on hold during sustained activity, consider conditional delivery.

Compare the main options

Ordinary email: familiar but easy to forward, scan, retain and misaddress. Avoid sensitive attachments and secret-bearing subject lines.

Secure portal: appropriate when the recipient and organisation already use an authenticated workflow. It may provide audit, retention and compliance controls.

Encrypted cloud folder: useful for maintained collections and collaboration. Access continues until revoked and may depend on the provider's recovery model.

Password manager: purpose-built for credentials and routine emergency-access features.

Conditional delivery: useful for selected information that should not be available yet and can tolerate a delayed inactivity process.

Encryption does not answer every question

Ask who holds recovery keys, what metadata remains visible, how recipients authenticate, whether links expire, how access is revoked, what happens after download and whether the recipient has the legal authority to act.

Use a practical selection checklist

Choose the method by sensitivity, urgency, recipient skill, expected duration, need for collaboration, legal obligations and failure consequences. Test with harmless material and preserve an independent authoritative copy.
